Change Microsoft 365 supplier. Keep your tenant.

Changing who supplies your licences can be separate from moving your Microsoft tenant. Start with the existing subscription, commitment and support arrangements, then agree the transfer or renewal route before placing a replacement order.

Licence supply is not the same as a migration

A supplier change concerns who supplies and bills the licences. A tenant migration moves services or data between Microsoft environments. Those are different projects. You should not need to move email or SharePoint merely to compare a licence quotation, but the actual supply route must be checked before anyone promises a particular outcome.

Existing IT support can remain with your internal team or current provider if that arrangement still works for you. First separate the licence line from bundled backup, security, helpdesk and other services. A lower licence price does not by itself make an entire managed service cheaper or equivalent.

Find the right route for each subscription

Do this per subscription. A mixed basket can contain different terms and purchasing routes even when everything appears in the same tenant.

What an eligible CSP transfer changes

Microsoft's new commerce partner transfer process involves a relationship with the target partner and a transfer request approved and submitted by the source partner. Creating the relationship alone is not completion. The remaining subscription term transfers; the move does not create a fresh cancellation window.

Ask for written confirmation of the subscriptions in scope, effective transfer, customer billing treatment and any unresolved lines. Supplier accounting credits do not automatically tell you what your own customer invoice should be. Agree that separately. Do not cancel an existing subscription or buy duplicate replacement seats merely because a transfer request has been sent.

Keep commitment, billing and administration separate

An annual commitment billed monthly is still annual. Check the term end and reduction rules, not just the next payment date. Microsoft's new commerce cancellation policy provides a limited cancellation window for licence-based subscriptions; it is not an anytime exit from the commitment. Have the relevant purchase or renewal timestamp and contractual notice requirements checked before acting.

Licence supply is also separate from permission to administer your environment. Agree any access needed for a specific task. Our optional licence inventory connection uses its own read-consent process; requesting a quote does not authorise changes to your tenant. Keep emergency access and ownership arrangements with your organisation.

A practical handover list for your IT team

  1. Record the tenant and exact subscription names, Teams variants, quantities and purchasing programme. Do not send passwords or sign-in codes.
  2. Confirm each commitment, billing frequency, renewal date and any required notice. Use the renewal planner to organise dates without treating reminders as cancellation instructions.
  3. Separate licence supply from support, backup, security and implementation services. Decide who remains responsible for each.
  4. Compare a quotation with the same quantities, term and product rights. Keep optional additions and unknown prices visible.
  5. Agree the transfer or renewal route with the relevant parties before accepting supply. Record who approves and verifies completion.
  6. Reconcile licences and invoices afterwards. Check the actual outcome rather than assuming that an email or portal request completed the change.

Example: 220 core licences plus specialist add-ons

A business asking for 220 Business Premium licences may also have Teams Premium, Power BI, Copilot or Visio. Keep those as separate products with their own quantities and dates. Confirm base-licence dependencies before changing or reducing anything. A total of licence quantities is not a count of employees, and a supplier switch is not evidence that every add-on should be removed.

Common questions.

Does changing licence supplier mean moving all our email?

Not necessarily. Licence supply and tenant migration are different matters. We check a supported route for the exact subscriptions and existing tenant before confirming the change.

Does a CSP transfer cancel our annual commitment?

No. An eligible transfer carries the remaining subscription term and does not create a new cancellation window. Customer billing and contract responsibilities must be agreed separately.

Can we keep our current IT provider?

Yes, subject to your existing agreements. Licence supply can be considered separately from managed support. Confirm who remains responsible for each service and any administrative access.
