Microsoft 365 annual commitment vs monthly billing

An annual Microsoft 365 commitment lasts twelve months, even when you pay monthly. Billing frequency describes when payments are due; it does not shorten the commitment. A monthly commitment is a separate offer. Compare the full term cost, payment schedule and change rights before choosing, rather than relying on a headline monthly price.

The calculator assumes the same quantity and unit price throughout each commitment. It excludes VAT, part-period adjustments, promotions that change mid-term, usage charges and separate services. It does not check product eligibility or cancellation rights. Entering a term does not mean that term is available for a Microsoft product.

Annual commitment and monthly billing describe different things

Commitment term is the period you agree to buy the subscription for. Billing frequency is how often it is invoiced. These are separate choices, where the product supports them.

A displayed price such as £10 per user per month, paid annually can be a monthly equivalent of a larger upfront bill. It does not necessarily mean a £10 monthly invoice. Read the payment wording beside the price. Microsoft separates term duration from billing frequency in its CSP pricing and offers guidance.

Compare the full commitment cost before the instalment

For a fixed quantity and rate, multiply price per licence per payment × licence quantity × number of payments in the commitment. Keep everything excluding VAT, then account for tax as shown on the quote. Separate usage charges and services before comparing licence costs.

Consider these hypothetical offers for ten identical licences:

Offer B costs £120 more over the same commitment in this example, while spreading payments. These figures are invented for the calculation; they do not describe a standard Microsoft uplift or our selling prices. Get a written price for each option.

The comparison tool on this page uses only the figures you enter. Put 120 into an upfront price field for Offer A and 11 into a monthly price field for Offer B. Do not enter an annual offer's advertised monthly equivalent as though it were its annual payment.

Monthly billing is not monthly flexibility

An annual commitment billed monthly can spread expenditure across the year, but it still needs a twelve-month budget. A staff member leaving, a licence becoming unassigned or a monthly invoice falling due does not by itself end the subscription commitment.

Where a monthly commitment is available, it can support a shorter planning period. Check its separate price and the next permitted change date. Do not assume the same offer, price or feature set exists on every term.

For a mixed workforce, ask for separate lines for stable headcount and uncertain requirements. For example, a business might ask whether eight ongoing roles and two short-term roles can use different commitments. The quotation must confirm the exact products and availability; the calculator cannot make that decision.

Can I cancel an annual commitment paid monthly?

For CSP New Commerce Experience per-user licences, Microsoft normally permits cancellation with a prorated refund within seven calendar days of purchase or renewal. Outside the applicable window, paying in instalments does not remove the remaining commitment. Ask your supplier to confirm the exact deadline before requesting cancellation or a reduction.

Partial upgrades can inherit the original subscription's cancellation window. A monthly invoice is not a fresh annual-subscription cancellation window. Different product categories have different rules, so do not apply this explanation to every Azure, software or Marketplace purchase. See Microsoft's NCE cancellation policy.

Turning off renewal is also different from ending the current term. Keep confirmation of the effective date and any final charges. A supplier change should be planned around existing commitments and the agreed transition route, rather than treated as automatic cancellation.

A monthly equivalent is useful, but it is not a forecast

A monthly equivalent spreads the full commitment cost evenly across its months for comparison. For example, an upfront £119.99 payment for one licence over twelve months is approximately £10 per month. The invoice remains £119.99; multiplying the rounded display back by twelve would produce a different figure. Use the full commitment total when checking a quote.

A one-month offer and a twelve-month offer cover different periods. Twelve times today's monthly rate is only a scenario assuming that rate and quantity stay unchanged at every renewal. It is not a quoted annual commitment. Our calculator therefore does not report a saving between offers with different commitment lengths or quantities.

Also allow for your existing subscription, any overlap during a switch, one-off work and variable usage. A cheaper new licence rate does not automatically mean a lower overall cost of change.

What your written Microsoft 365 quote should show

Ask for each of these items on every licence line:

  1. Exact product and variant. Include whether Teams is included and whether an add-on needs an eligible base licence.
  2. Quantity. Identify required licences separately from possible non-renewals.
  3. Commitment. State the start date, length and renewal date.
  4. Billing frequency. Distinguish monthly instalments from one annual payment, and label any monthly equivalent.
  5. Price excluding VAT. Show the amount per licence per payment, payment count and full commitment cost.
  6. Change and renewal terms. Confirm deadlines, any promotion expiry and what will be checked before the next term.
  7. Separate charges. Identify Azure consumption, migration, support and any other work outside the licence amount.

For a renewal, supply the current commitment and end date as well as the new offer. Request any billing or term change before renewal and ask the supplier to confirm eligibility and the effective date. A pricing comparison does not itself make a change.

Common questions.

Does paying monthly mean I can cancel Microsoft 365 every month?

No. Annual commitment billed monthly still means a twelve-month commitment. A monthly commitment is a different offer with its own price and renewal terms. Check the commitment on your written quote, not just the frequency of the invoice, and ask for the applicable cancellation deadline.

Is annual upfront always cheaper than annual commitment billed monthly?

Compare current written offers for the same product, quantity and commitment. The billing options can have different prices, but this guide does not assume a universal uplift or guarantee the cheaper option. Multiply the per-payment licence price by the quantity and payment count to compare the full term.

How do I calculate the cost of an annual commitment billed monthly?

For a constant rate and quantity, multiply the monthly price per licence by the number of licences and twelve payments. For example, £11 per licence per month for ten licences is £110 per payment and £1,320 for the year, excluding VAT. This example is arithmetic, not a supplier offer.

Can I reduce annual licence quantities when someone leaves?

A person leaving does not automatically reduce the subscription commitment. Ask your supplier to check the exact subscription's eligible change window and renewal date. Unassigning a licence in Microsoft 365 is different from reducing the purchased quantity. Confirm both the permitted change and its financial effect before acting.

Does the calculator tell me which Microsoft offer I am eligible for?

No. It calculates payment amounts and commitment totals from your entries. It does not check Microsoft product eligibility, promotions, cancellation rights, migration costs or future renewal prices. Compare the same licence and included services, then obtain a written quote. No request or purchase is created by the calculation.
